Acceptance evidence worksheet

Scope and source of truth

Are source, target, selected entities and snapshot timing recorded?

Identity and uniqueness

Are stable keys defined, with blank and duplicate IDs reviewed?

Record coverage

Are missing/new records explained against the intended scope?

Field and type mapping

Are renamed, omitted and converted fields explicitly reviewed?

Comparison rules

Are tolerance and normalization intentional, documented and repeatable?

Exception handling

Does every flagged discrepancy have an owner and disposition?

Recovery rehearsal

Has rollback or a safe recovery plan been rehearsed for this change?

Independent acceptance

Is a reviewer and a decision recorded with supporting evidence?

The builder records your assertions. Pass or not-applicable requires an evidence reference or reason; this app cannot verify that evidence.

Two chapters from the complete playbook

1. Define what a match means

Write the scope before importing anything: source system, target system, selected entities, snapshot window, key mapping and fields expected to remain equal. Decide which new or missing records are intentional. A row count is a coverage signal; it cannot prove that values match. Keep a synthetic acceptance example that everyone can understand. Record the conditions under which the source can still change. If a freeze is impossible, define how updates after the snapshot are tracked.

2. Preserve identity

Do not casually convert IDs to numbers. Leading zeros, case and whitespace can be meaningful. Choose a stable key; if an entity has multiple lines, a composite key may be needed. Count blank and repeated keys before comparing. Preserve the original export and its file identity in approved storage. Avoid using changing display names as identity. Review ambiguous groups instead of selecting the first row silently.

Keep the complete workflow.
